Whale’s pricing is designed to grow with your team. Whether you’re just starting to document processes or already managing a large knowledge base, the plans ensure you have the right tools at the right time. Our model is simple, transparent, and built around team collaboration — you only pay for what you need.

Step 1: Choose Your Plan

Whale offers different plans based on your team’s size and documentation needs:

• Free: Ideal for small teams who want to centralize SOPs and processes in one place.

• Scale: Perfect for growing teams that need advanced features like analytics, integrations, and more customization.

• Enterprise: Designed for large organizations with complex structures, requiring custom user roles and dedicated support.

Each signup starts with a 7-day trial of our Scale plan. No credit card, just get started. After the trial you'll be prompted to upgrade to our Scale plan to keep your progress or move to our Free plan with limited features

Step 2: 10 users included, pay for extra users.

Whale’s pricing is user-based, meaning you start with 10 users included in your Scale plan and only pay for each additional user (>10) you add to your workspace. 

This makes it flexible — you can start small and add more users as your team grows.

• Monthly billing: Pay month-to-month, ideal for teams that want flexibility.

• Annual billing: Commit for a year and enjoy discounted rates.

Notes: 

• You can start with less users in each plan but this does not have influence on the base price. 

• If you add additional users in our Scale plan (11 and over), you will be charged pro-rated of what's left in your monthly/yearly term. Example: You add another users with 6 months left on your yearly subscription, you pay 60$ to add that user. You delete that user again 3 months later, you will get 30$ back in credit to your account. This credit can only be used for future bill and can't be refunded to your card.

• This does not apply to custom billed plans through sales.

Every plan comes with Whale’s core features:

• Browser extension for quick access

• CoPilot guidance to help your team adopt processes

Higher-tier plans unlock more advanced features such as unlimited board, higher AI-token limits, training features, integrations, advanced analytics, and more.

Your pricing automatically adapts to your team size and chosen billing cycle. This means you don’t need to renegotiate or manually adjust — Whale grows alongside your organization.

Example: A company doubling from 25 to 50 employees can upgrade seamlessly, ensuring everyone has access to the same structured knowledge base. Just add your colleagues via the user management.
